Business Coordinator, King's Lynn

Reporting line: Directly reports to Business Manager

Main purpose:

To provide administrative support throughout the business as defined by Business Manager. To Include:

  • The completion of documentation in relation to the legal movement of waste and in line with company reporting requirements
  • Day to day management of subcontracted operations in relation to the movement of waste material
  • Timely and accurate analysis and input of data into Palm Recycling defined systems
  • Providing assistance throughout the business as and when required
  • To assist National Account and Development Managers with any ad-hoc queries, reports and requirements

Main responsibilities:

  1. Responsible for the entry of all data for paper separation facilities, Pressroom contracts and third party stocking facilities, ensuring corresponding balancing sheets are accurately completed in line with business requirements,
  2. Responsible for accomplishment of ordering procedures in co-operation with the Business Manager, National Account and Development Managers, including the distribution of purchase orders, waste transfer notes and legal documentation to nominated suppliers and service providers for the movement of fibre throughout the United Kingdom and continental Europe,
  3. Liaising with the management team in coordinating the purchase and sale of waste commodities ensuring orders are raised accurately, on time and in line with company procedures,
  4. To provide support to the Business Manager, National Account and Development Managers in the development and reconciliation of daily, weekly and monthly reports to ensure the production of accurate information and financial reports are populated in line with the business requirements,
  5. To assist in the coordination of fibre deliveries into Palm Paper, external stocking and paper separation facilities,
  6. Ensuring accurate information is controlled, prepared and distributed to customers, suppliers and service providers within the agreed timeframe,
  7. Working closely whilst providing a prompt service with any issues to customers, suppliers and service providers whilst maintaining a professional manner,
  8. Completion of annual waste transfer notes, and ensuring compliance with the Duty of Care regulations,
  9. Completing the setup process of any new suppliers, customers, hauliers and service providers accordingly within SAP and Microsoft Dynamics,
  10. To assist the accounts department with any invoice or weight queries wherever necessary,
  11. To assist the administration department with ad-hoc reporting,
  12. Confirm to management team of any non-compliant to customers, suppliers and service providers,
  13. Arranging any export consignments from the UK to Europe or other destinations as required in line with company procedures and Trans frontier shipment requirements,
  14. Ensuring all duties are carried out in line with the companies integrated management system,
  15. Providing support and assistance throughout the business as and when required.

Other Responsibilities:

  • Manage the telephone service in co-operation with administration
  • Assisting with the general filing system of all documentation, ensuring that all documents are archived in accordance to the government rules and regulations and Palm Recycling’s internal procedures.
  • The jobholder may be required to carry out additional tasks as instructed by the line manager or by processing instructions
  • Use resources as efficiently as possible and ensure that all activities will be done in compliance with all legal regulations for environmental protection
  • Managing own annual leave in conjunction with Palm Recycling administration team
  • Provide holiday cover where necessary
  • Assisting in projects
  • Follow compliance of company process and standing operating procedures

Specific responsibilities:

  • Assist in the maintenance of a safe and healthy working environment and ensure that all equipment is used in accordance with H&S regulations and company rules
  • Use resources as efficiently as possible and ensure that all activities will be done in compliance with all legal regulations for environmental protection

Working Conditions:

General working conditions are:

  • temporary, 18 months only
  • 40 hours per week

  • Excellent verbal and written and communication skills whilst maintaining attention to detail
  • Organising and coordinating skills
  • Commercial education and knowledge
  • Good time management skills are essential due to the nature of the role
  • Self-motivated and well-disciplined
  • Professional conduct displayed at all times
  • Works well under pressure
  • Full UK driving license
  • Willingness to travel
